Click and Collect Orders (EPOS)

You manage Click & Collect orders using the Click & Collect Orders tab:

Note: Only incomplete Click & Collect orders are displayed on the EPOS system. Therefore once you mark an order in the Admin as having been collected by the customer, the order will no longer be shown on the EPOS. Click & Collect orders are not considered to be till orders by the IRP, even when they are paid for in store.

When customers have ordered items on the front end of your website and selected the Click & Collect option, the number of orders waiting to be processed will appear in brackets at the side of the tab. Click this button to begin processing the orders. You will see the Click & Collect orders in separate rows as follows:

This screen show the following details:

  • Order ID: This is the Order ID of the order made by the customer. If you click the Order ID you will see the full details of the order.
  • Location: This shows the collection location that the customer has selected.
  • Status: This shows the current status of the order. For orders that have just come through, this will be ‘New’.
  • Image: An image of the items ordered appears in this column. You can see details of the item by clicking on the image.
  • Items: This shows the name of each of the items in the order, accompanying the images.
  • Quantity: This shows the quantity of each item in the order.
  • Cancel: If you need to cancel an item in the order, click the round red button with the ‘X’.
  • Prepaid: This shows whether the customer has prepaid for their order (Yes) or whether they are due to pay for it when they come to collect their order (No).
  • Total Price: This shows the total price of the items in the order.
  • Collection Time: This shows the date and time when the customer is due to collect their order from their chosen collection location. As in the example shown in the screen capture above, if the customer has failed to collect their item, this will show the details in red plus ‘Collection Has Expired’.
  • ‘Action column’: This column shows various actions that can carried out by the till user, for example:
    • Cancel the order. If you click this button you will be asked to confirm that you want to cancel the order.
    • Send a ‘Ready for Collection’ email to the customer. If you click this button you will be asked to confirm that you want to send the email.
  • Select: Click this button to begin processing the order.

Selecting prepaid orders

If you click the Select button for a Prepaid order, you will see the following Complete Order window:

From here, there is nothing for the customer to pay as he or she has already paid and so all you need to do is add an optional note in the ‘Order Notes’ box and click the Complete Sale button. A receipt will be produced, ready for you to give to the customer. This is described in the Receipts EPOS help topic.

Selecting non-prepaid orders

If you click the Select button for an order that has yet to be paid, you will see the following Complete Order window:

From here you can manage the sale in the usual manner, as described in the Make A Sale EPOS help topic.

Refunding prepaid Click & Collect orders

If a customer does not turn up to collect an order that they have prepaid for, once the collection time has passed, you should cancel their order. Their payment card is then automatically refunded with the amount that they paid. Alternatively, for Click & Collect orders that the customer has paid for in store, you issue refunds in the same way as you do for other EPOS orders — see the Issue Refunds EPOS help topic for details.
