Ad-Hoc Labels

You can find this section under Shipping > Ad-Hoc Labels in the IRP Admin left navigation menu.

You use the Ad-Hoc Shipping Labels section to create Shipping Labels for any situation other than orders. This will mean that parcels and letters can be added to your manifest and collected by a courier, rather than you having to post the item manually.

The feature works in a similar manner to the auto-generated postage labels in the Orders section and can be sent by any shipping method currently used within your IRP.

The main ShippingAdHocLabels.aspx page appears as follows:

Ad-Hoc Labels Page

You can use the search bar to locate any Ad Hoc Label in the system and, if you expand 'Other Options' you can filter the results by Shipping Method or Shipping Date.

The main grid shows the following fields:

  • ID: This is the unique IRP identifier for the Ad Hoc Label, created automatically by the IRP.
  • Label Name: This is the name that is printed on the Ad Hoc Label.
  • Address: These are the address details that are printed on the Ad Hoc Label.
  • Shipping Method: This is the Shipping Method for this Ad Hoc Label.
  • Tracking Code: This is the Barcode and Shipping Reference to be printed on the Ad-Hoc Shipping Label.
  • Shipping Date: This is the date on which the parcel will be shipped.
  • [Selection box]: Tick these boxes if you want to either print or delete selected labels, then click either the 'Delete Selected Ad Hoc Parcels' button or the 'Print Selected Ad Hoc Labels' button at the top or bottom of the page.
  • Label: Click this button to open the postage label for this parcel which you can then print.
  • Edit: Click this button to make changes to an existing label. For more details, see the How To Add or Edit an Ad-Hoc Shipping Label article later in this section.

How To Add or Edit an Ad-Hoc Shipping Label

To add or edit an Ad-Hoc Shipping Label, follow these steps:

  1. Go to Shipping > Ad-Hoc Labels in the IRP Admin left navigation menu.
  2. To create a new Ad-Hoc Shipping Label, click the Add New Ad-Hoc Parcel button at the top of the page.
    To edit an existing Ad-Hoc Shipping Label, click the Edit button at the right side of the Ad-Hoc Shipping Label that you want to edit.
  3. Enter or edit the following details:

    Postage Label Details
    Parcel ID The unique IRP identifier for this parcel, created automatically by the IRP.
    Shipping Method Select the method by which the item will be sent from a list of Shipping Methods available in your IRP.
    Company Name Delivery Company Name to be printed on Shipping Label.
    First Name First Name to be printed on the Shipping Label.
    Last Name Last Name to be printed on the Shipping Label.
    Address L1 First Address Line to be printed on the Shipping Label.
    Address L2 Second Address Line to be printed on the Shipping Label.
    Town/City Town/City to be printed on the Shipping Label.
    County/Region County/Region to be printed on the Shipping Label.
    Postal/Zip Code Postal/Zip Code to be printed on the Shipping Label.
    Country Shipping Country to be printed on the Shipping Label.
    Description of Goods This is a required field for entering a description of the goods associated with this ad-hoc label.
    Delivery Notes Delivery Notes to be printed on the Shipping Label if the Shipping Method allows it.
    Parcel Specifications
    Parcel Count Enter the number of Parcels in this Consignment. Parcelforce can automatically produce multiple labels for the same Shipping Reference. For example, if the number of Parcels entered was 5, there will be 5 labels produced for the consignment with the text, 1 of 5, 2 of 5, 3 of 5, 4 of 5 and 5 of 5.
    Item Count The Number of Items in being dispatched in this consignment.
    Contents Value The Total Value of the Contents of this Consignment (the default value is £10).
    Parcel Weight (optional) and Dimensions (optional)
    Parcel Type The Parcel Weight, where the Shipping Method requires it, to be used in Collection Manifests.
    Weight (g) The Parcel Weight, where the Shipping Method requires it, to be used in Collection Manifests.
    Width (cm) The Parcel Width, in centimetres, where the Shipping Method requires it.
    Height (cm) The Parcel Height, in centimetres, where the Shipping Method requires it.
    Length (cm) The Parcel Length, in centimetres, where the Shipping Method requires it.
  4. When you have entered or edited all the details, click the Insert Parcel for Label button.
  5. If you are inserting a Parcel, two new fields will appear in a new section called Shipping Details:

    Tracking Code This is the Barcode and Shipping Reference to be printed on the Ad-Hoc Shipping Label. If the Shipping Method selected for this Label has been configured to auto-generate these Tracking Codes (i.e. Royal Mail or Parcelforce Methods), click the icon to populate the input box then click ‘Update’ to apply this Shipping Reference to your Parcel.
    Shipping Date This is auto-generated with the current date. If it is to be shipped on a different date you can change the date value.
    Note that you must click the Update Parcel for Label button to save these details.
  6. Click the Open Label button to open a PDF version of the label which you can print.
  7. If you want to delete a Label, click the Delete Parcel for Label button.

Why do I receive an error message when I try to print Ad-Hoc labels?
This could be because you are trying to print a label (e.g. a Royal Mail label) without having uploaded a label background for the Shipping Method. Please add a label background image before attempting to print Ad-Hoc labels.
