Financial Reports

You can find this section under Statistics > Financial Reports in the IRP Admin left navigation menu.

You use this section to create custom financial reports. You can select date ranges and grouping options for your reports, pick specific field types and include multiple filters such as Shipping Country, Language, Currency, Order Type, Payment Type, Order Status, Non Cancelled Orders, Completed Orders.

The Financial Report builder deals with two types of Financial Transactions: Money In and Money Out.

Money In Transactions appear when:

  • An Order is placed
  • An item is subsequently added to an Order that has already been placed
  • Manual Charges are performed against an Order

Money Out Transactions appear when:

  • An Order is completely Cancelled / Refunded
  • 1 or more Individual Items are Cancelled from an Order
  • 1 or more Individual Items are Returned from an Order
  • Manual Refunds are performed on an Order

The Financial Report Builder is not dependent on when an Order was placed but is dependent on when the actual Transaction was performed. For example, if an Order was placed on the 1st Jan and a subsequent Refund was performed on the same Order on the 1st Feb, the Refund and Tax associated with it would be Time Stamped on the 1st Feb.

The functionality covers all Financial Transactions processed by the IRP, and all Order Statuses. Transacted Amounts and Goods Amounts are differentiated as the IRP does not assume that items are being Charged / Refunded at the same rate as they have been added to / removed from an Order. This differentiation is clearly spelt out when Financial Reports are being generated.

When an Order is placed, the IRP calculates the Goods In value as:

Value of All Items + Value of Shipping

The IRP then calculates the Goods Tax value as:

Tax of All Items + Shipping Tax

The same principle works for Money Out transactions.

FinancialReports.aspx page

The main FinancialReports.aspx page appears as follows:

The page shows the following details for each report:

  • ID: This is the unique ID of the report in IRP Admin. This is added automatically by the IRP.
  • Name: This is the name of the report.
  • Date Range: The date range can be: This Calendar Year, Last Calendar Year, This Calendar Year And Last, Last 12 Months, Last 6 Months, This Month, Last Month, Custom Date Range.
  • Group By: Reports can be grouped by: Month, Year, Day, Sum Over Time Period.
  • Fields: This shows the number of fields included in the report.
  • Filters: This shows the number of filters included in the report. These might include Shipping Country, Language, Currency, Order Type, Payment Type, Order Status, Non Cancelled Orders, Completed Orders.
  • Download: Click this button to download a report in MS Excel format.
  • Edit: Click this button to edit the details of a report. For more information, see the How To Add or Edit a Financial Report article in this section.

Adding or Editing Reports

To add or edit a financial report, follow these steps:

  1. Go to Statistics > Financial Reports in the IRP Admin left navigation menu.
  2. To add a new report, click the Add New Financial Report button at the top of the screen.
  3. To edit details of an existing report, click the Edit button at the right side of the report that you want to edit.
  4. Enter or edit the details described on each tab as described in the following sections.

Financial Report Details tab

  1. Fill in the following details:

    Financial Report Details
    Financial Report ID This is the unique ID of the report in IRP Admin. This is added automatically by the IRP.
    Report Name This is the name of the report.
    Date Range The date range can be:
    — This Calendar Year: Start Date is the 1st Jan this year with the End Date being the 31st Dec this year.
    — Last Calendar Year: Start Date is the 1st Jan for last year with the End Date being the 31st Dec for last year.
    — This Calendar Year and Last: Start Date is 1st of Jan for last year with the End Date being the 31st Dec this year.
    — Last 12 Months: Start Date is the 1st of the current date minus 12 months with the End Date being the Start Date plus 13 months minus 1 millisecond.
    — Last 6 Months: Start Date is the 1st of the current date minus 6 months with the End Date being the Start Date plus 7 months minus 1 millisecond.
    — This Month: Start Date is the 1st of the current date with the End Date being the Start Date plus 1 month minus 1 millisecond.
    — Last Month: Start Date is the 1st of the current date minus 1 month with the End Date being the Start Date plus 1 month minus 1 millisecond.
    — Custom Date Range: Start and End Dates are user-defined.
    Group By Reports can be grouped by: Month, Year, Day, Sum Over Time Period.
    Order By How the results of this Financial Report should be ordered: Date Descending or Date Ascending
  2. When you have entered all of the details, click the Insert Financial Report button or the Update Financial Report button to save the details.

After you have inserted the report, you will see the SQL in the Report SQL section.

Fields tab

  1. Choose the fields to include in your report:
    • Field Type: Select the type of field to add to this Financial Report, for example: Sales, Sales By Order Type, Sales By Payment Type, Sales By Platform, Sales Other, Promotional Discount, Shipping, Refunds or Charges. Also, if applicable, specify whether the values should be Gross, Net, Tax or Count.
    • Field Name: This is the system-generated name that this field will be output with in this Financial Report if no Alias is specified (see next). For example, if you have selected a Field Type of 'Shipping' and clicked the 'Gross' radio button, then the system-generated Field Name will be 'Gross Shipping Total'.
    • Field Alias: This is the name that this field will be output with in this Financial Report. If you leave this blank then the system-generated Field Name will be used in the report.
  2. To add a new field to the report, click the Add New Field button.

All fields are listed in the Current Fields section. From here you can make changes to the Order, Field Types and Aliases. Make sure that you click the Update Current Fields button to save your changes.

Filters tab

  1. Choose the filters for your report:
    • Filter Type: Select the Type of Filter you wish to apply to ALL or specific Fields within this Financial Report, for example Shipping Country, Language, Currency, Order Type, Payment Type, Order Status, Non Cancelled Orders or Completed Orders. Filters can be:
      — In / Not In: In this case, you can select multiple filter values for each Filter Type.
      —Equals / Not Equals: In this case, you can select from a single filter value for each Filter Type from a drop-down list.
    • Fields: Select your Filter Type and then choose to filter by All Fields (the default) or Specific Fields (then you can select from the Fields that you created on the 'Fields' tab).
  2. To add the filter, click the Add New Filter button.

Running or Downloading Reports

To run or download a report, click the Run Financial Report button or the Download Financial Report button on the Financial Report Details tab.

IMPORTANT: If you make changes to any of the report settings, make sure that you click the Update Financial Report button before you click the Run Financial Report button or the Download Financial Report button. Otherwise the report will not work correctly as you have not saved your changes before running the report.

Note on Refunds and Charges in Financial Reports
If you run a Sales Report and add Refunds and/or Charges as fields, the values shown for those fields in the completed report are automatically taken into account in the Sales values. The figures shown in the 'Refunds' and 'Charges' columns are for reference only and you do not need to manually re-calculate the Sales figures in the report.
