Stock Notifications

You can find this section under Products > Stock Notifications in the IRP Admin left navigation menu.

A stock notification allows customers to request an email alert when an out of stock item comes back into stock.

The main StockNotifications.aspx page appears as follows:

Stock Notifications page in IRP Admin

By default, both active and inactive stock is shown and both in-stock and out-of-stock items.

You can see the number of requests that have been submitted and the dates when the most-recent requests were made. You can also see images of the items and other details such as price, option and stock status.

How customers request stock notifications

Customers can choose to receive stock notification emails when the "Out Of Stock Status" is set to "Normal" or "Special Order" status in the IRP.

For a customer to request a Stock Notification, they must click on the Request Stock Alert text as shown below:

Stock Notifications page

They then have to enter their email address:

Stock Notifications Email Address window

Finally the customer clicks the Submit button to create the stock alert.

Stock Notifications can be requested only once for a stock item; customers cannot request a Stock Notification for the same Stock ID using the same email address numerous times.

How you know when items are back in stock

When an item comes back into stock you should see it reflected in the Alerts menu in the top nav of IRP Admin:

Stock Notification Alert Menu

Note that the Alerts menu is NOT updated when a customer requests a stock notification; it is updated only when an item comes back into stock, alerting you to the fact that stock notification emails are ready to be sent to the customer. When you click the Alerts link you will be directed to the StockNotifications.aspx?ShowInStockOnly=true page where you can view the details of requests, as described in this help topic.

Once Stock Notification Emails have been sent to customers (either automatically via the System Email / Common Task or manually), the requests will be removed from the page.

Emails and vouchers

You can create a specific System Email for Stock Notifications where you can also include vouchers (this can further entice customers to purchase). These emails are sent according to the schedule you have configured for the 'Send Stock Notification Emails' Common Task (this is also run when you click the button called 'Send Stock Notification Emails' at the top of the StockNotifications.aspx page). If you like, you can also email individual customers directly from the Stock Notification Details page – see the How To Respond To Stock Notifications section below in this section.

Default Stock Notifications use the following Small Translations:

  • 484
  • 628
  • 657
  • 1244

These are overridden by whatever you configure in your System Email or individual email on the Stock Notification Details page.

Note: Stock Notifications will be sent out only for Active items coming back into Stock. For a Stock Notification to be sent out for an item that has moved from a Stock Level of <= 0 to a Stock level > 0, it, its Model, its Brand and its Category must ALL be Active.

How To Respond To Stock Notifications

Note that you can create a specific System Email for Stock Notifications and you can include vouchers. These emails are sent according to the schedule you have configured for the 'Send Stock Notification Emails' Common Task (this is also run when you click the button called 'Send Stock Notification Emails' at the top of the StockNotifications.aspx page). If you like, you can also email individual customers directly from the Stock Notification Details page using the procedure described below.

To respond to individual customers with stock notifications, follow these steps:

  1. Go to Products > Stock Notifications in the IRP Admin left navigation menu.
  2. Click Show All Stock Notifications to display a list of all current stock notifications that have been requested by visitors. You can see a count in the ‘Requests’ column of how many customers have requested an alert for each item.
  3. You can see the email addresses of the customers who requested the stock alert by clicking the Details button beside the stock item. This opens the Product Details page.
  4. From here you can send out a mail alert to the visitors who have requested this specific item. You do this by entering the following details:
    DetailRequiredDescription
From Who the response should appear to be from.
Subject The subject of the stock notification response.
Content The content of the email to be sent to requesters.
  5. Send the email by clicking the Email All Requesters button.
  6. You can also send emails in bulk for items that have come back into stock. To do this, go to Products > Stock Notifications  and click the Send Stock Notification Emails button located at the top of the screen. The count of mails that will be sent is appended to the end of this button.

Vouchers in Stock Notification Emails

When emailing customers about items coming back into stock, you can further entice them to purchase by including vouchers in the email. There are several Application Settings that are related to this:

  • Stock Notification Voucher Amount: (‘Stock Notifications’ grouping) The Voucher incentive amount to be attached to the Email. If set to 0, no Voucher will be added to the Email.
  • Stock Notification Voucher Discount Type: (‘Stock Notifications’ grouping) The type of Voucher to be added to the Stock Notification Email. This can be 'Percentage Off Total Basket Value', 'Percentage Off Total Over Basket Value', 'Money Off Total Basket Value' or 'Money Off Total Over Basket Value'.
  • Stock Notification Voucher Duration Days: (‘Stock Notifications’ grouping) This is the default number of days for which a Stock Notification Voucher will remain valid.
  • Stock Notification Voucher Min Basket Total: (‘Stock Notifications’ grouping) The Minimum Basket Total that the Voucher added to the Stock Notification should work off.

Why are there no Stock Notifications showing in the Alerts menu?
Stock Notifications will appear in the Alerts menu only when stock items come back in stock. For example, a customer requests a Stock Notification when an item comes back into stock. This will not appear in the Alerts menu at this point. However, the next week you receive the item into stock. A Stock Notification will then be displayed in the Alerts menu, indicating that the item is now in stock.
