Word Replacements

You can find this section under Search > Word Replacements in the IRP Admin left navigation menu.

Word Replacements (or 'Search Aliases') are a feature used to correct search results if a user has made a spelling mistake or entered an incorrect word.

A Word Replacement replaces the incorrect word with an alternative correct word. For example if multiple users search for “Golf Culb” instead of “Golf Club” a Word Replacement can be set up so that this automatically searches for “Golf Club”.

This means that the user will not have to search for the item again when they realise they have made a mistake.

Here is an example from a live site. A site visitor searches for the following term:

As you can see below, the incorrect word “culb” has been replaced with the correct word “club”:

A great feature of this section is that you can see at a glance which of your Word Replacements are successfully returning results and which are failing.

Word Replacement Main Grid

The SearchWordReplacements.aspx page appears as follows:

You can use the search bar at the top of the page to find any Word Replacements that you have configured in your system.

Word Replacement Tabs

All Replacement Tab

You can see the following information in the main grid:

  • ID: This is the unique ID of the Word Replacement, generated by the IRP. You can click the heading to sort the grid in ascending or descending order.
  • Searched Word: This is the term that visitors will enter in the Search bar on the front end of your website. You can click the heading to sort the grid in ascending or descending order.
  • Replace With: This is the term with which you want to replace the 'Searched Word'.
  • Date Updated: This is the date and time when the Word Replacement was configured by an Admin User. You can click the heading to sort the grid in ascending or descending order.
  • Last Updated By: This is the name of the Admin User who configured the Word Replacement. You can click the heading to sort the grid in ascending or descending order.
  • Preview: Click this button to see how the Word Replacement will look on your website.
  • Edit: Click this button to edit details of the Word Replacement. For more details, see the How to Add or Edit a Word Replacement topic in this section.

Replacements Now Returning Results Tab

You can see the following information in the main grid:

You can see the following information in the main grid:

  • Searched Word: This is the term that visitors will enter in the Search bar on the front end of your website. You can click the heading to sort the grid in ascending or descending order.
  • Replace With: This is the term with which you want to replace the 'Searched Word'.
  • Date Updated: This is the date and time when the Word Replacement was configured by an Admin User. You can click the heading to sort the grid in ascending or descending order.
  • Last Updated By: This is the name of the Admin User who configured the Word Replacement. You can click the heading to sort the grid in ascending or descending order.
  • Preview: Click this button to see how the Word Replacement will look on your website.
  • Edit: Click this button to edit details of the Word Replacement. For more details, see the How to Add or Edit a Word Replacement topic in this section.

At the top of page you can see these buttons:

  • Search History: Click this button to go to the SearchHistory.aspx page. See the Search History help topic for more information.
  • Add New Word Replacement: Click this button to go to the SearchWordReplacementEdit.aspx page where you can add a new Word Replacement. For more details, see the How to Add or Edit a Word Replacement topic in this section.


How To Guides (2)

To add or edit a Word Replacement, follow these steps:

  1. Go to Search > Word Replacements in the IRP Admin left navigation menu.
  2. To add a new Word Replacement, click the Add New Word Replacement button at the top of the screen. To edit an existing Word Replacement, click the Edit button to the right of the Word Replacement that you want to edit.
  3. On the SearchWordReplacementEdit.aspx page, enter the following details:
    • Word Replacement ID: The unique IRP identifier for this Word Replacement, auto-generated by the IRP.
    • Searched Word: The Searched Word to be replaced when entered on the front-end Search bar.
    • Replace With: The Correct Word to replace the Searched Word entered in the front-end Search bar. Click the 'Translate' link to translate the term into any active language in your system.
    • Split Alias Into Single Terms: If the replacement is more than one word, and this is ticked it will search each word of it separately, otherwise, it will search for it as a complete phrase. In almost all cases you will want this checked.
      As an example:
      Searched Word: NikeShoes
      Replace With: Nike Shoes
      If this checkbox is ticked, the IRP will search for two words, "Nike" AND "Shoes". Therefore, the IRP searches its index for any products with a brand / category / model name with 'Nike' in it, and any brand / category / model name with 'Shoes' in it - this is the behaviour we want in this case. If this checkbox is NOT ticked then the IRP will search for one whole phrase, 'Nike Shoes'. Therefore the IRP searches for any brand with 'Nike Shoes' in it, any category with 'Nike Shoes' in it, or any model name with 'Nike Shoes' in it - which is very likely to return 0 results.
  4. Click the Insert Word Replacement button or the Update Word Replacement button to save your configuration.

Deleting Word Replacements

If you want to delete a Word replacement, follow these steps:

  1. Go to Search > Word Replacement in the IRP Admin left navigation menu.
  2. Click the Edit button to the right of the Word Replacement that you want to delete.
  3. On the SearchWordReplacementEdit.aspx page, click the Delete Word Replacement button.

FAQs (2)

Are Word Replacements case-sensitive?
No, it doesn't matter if the 'Incorrect Word' is entered using upper-case or lower-case letters.

Can you create Word Replacements using multiple words or single words only?
Generally you would use only single words in Word Replacements — for the 'Incorrect Word' setting you can only use single words. However you could enter multiple words for the 'Correct Word' setting in specific circumstances. For example, if you think that visitors might enter an ID number in the search, you could enter the category that it refers to, and so forth.
