Stock Transfers

You can find this section under Stock Control > Stock Transfers in the IRP Admin left navigation menu. Note that you will not see this section if you have only one Stock Location configured in your IRP (as the IRP cannot carry out a stock transfer) and so you will be redirected to the Stock Admin home page (StockAdminHome.aspx) when you click the link for ‘Stock Transfers’ in the IRP left navigation menu. You wil also not see this section if the Admin User Group to which you belong doesn’t include the ‘Allow Stock Transfer’ special permission.

You use this section to view and request incoming and outgoing stock transfers between different stock locations:

  • Requesting an "Incoming" transfer means that you want to make a request for stock to be sent from another stock location to your current stock location.
  • Adding an "Outgoing" transfer means that you want to send stock directly from your current stock location to one of your other stock locations.

When searching for incoming and outgoing transfers, you can select the 'to' and 'from' locations and the status of the transfer:

From the Status drop-down menu you can select from:

  • All: This returns all transfers, of any status, from the selected location.
  • New: This returns all newly-created transfers to or from the selected location.
  • Requested: This returns all transfers that have been requested from or to the selected location.
  • Dispatched: This returns all transfers that have been dispatched to or from the selected location.
  • Part-fulfilled: This returns all transfers that are still in-progress to or from the selected location.
  • Cancelled: This returns all transfers that have been cancelled to or from the selected location.
  • Complete: This returns all transfers that have been fully completed for the selected location.

The list of incoming and outgoing transfers contains the following fields:

  • ID: This is an ID number associated with the transfer operation.
  • Added By: This is the name of the IRP Admin user who made the request.
  • From Location: This is the location from which the stock is to be sent.
  • To Location: This is the location to which the stock is to be sent.
  • No. Items: This is the total number of items in the transfer request.
  • Reference: This is the reference number for the transfer operation.
  • Status: This is the status of the transfer operation.
  • Timestamp: This is the date and time when the request was made.
  • Projected Arrival: This is the projected arrival time.

NOTE: There is an Application Setting available in the Stock Control group called Enable Out Of Stock Transfers. When this setting is enabled stock transfers can be requested from stock locations that have insufficient levels of stock to cover the transfer. It is strongly advised that this setting is NOT enabled as it introduces the potential for stock levels to get out of synchronization and will make tracking accurate stock levels through the IRP functionality much more difficult. The purpose of the setting is to allow stock transfers to be added before stock has arrived at a requested location, or when stock levels are not accurately maintained.

If ‘Enable Out Of Stock Transfers’ is enabled, the following will occur:

  • The StockTransferStep1of3.aspx page will allow items to be requested from locations where the level at that location is less than the level requested.
  • The StockTransferStep2Of3Incoming.aspx page populates the stock locations grid from all locations (other than the current location) regardless of the stock level of the item at the given location.
  • The StockTransferFulfill.aspx page handles the scenario when a transferred item has been requested from a location that doesn’t have the item.
  • The StockTransferStep2of3Outgoing.aspx page handles the situation in which out of stock transfers are initiated from the location that doesn't have the stock.

Stock Transfer Statuses

Stock Transfers have the following statuses as they progress through the process:

  1. Selecting Items For Transfer
  2. Transfer Requested
  3. Dispatching
  4. Part Fulfilled
  5. Cancelled
  6. Complete

When a transfer is completed the name of the Admin User who fulfilled the transfer is visible on the StockTransferView.aspx page.

NOTE: Remember to set your location to the stock location that is receiving a transfer in order to fulfil and complete a transfer. You can change your stock location using the stock bar on the top IRP navigation menu (use the EDIT button to select the Stock Control alert bar if it is not already displayed).

Adding a new outgoing transfer is a three-stage process:

  • Stage 1: Select which stock items you want to transfer.
  • Stage 2: Select where the stock will be transferred from and to.
  • Stage 3: Confirm transfers.

To add a new outgoing transfer, proceed as follows:

  1. Go to Stock Control > Transfers in the IRP Admin left navigation menu.
  2. Click the Add New Outgoing Transfer button above the Search bar.
  3. (Optional) Use the Search function to find stock. You can expand the Other Options to:
    • Filter by Anything, Stock ID or Model ID;
    • Exclude stock on order;
    • Exclude stock in basket;
    • Select only active stock;
    • Select the 'transfer from' location.

  4. To view the levels of stock for an individual item, hover the cursor over the Level icon. You can view the stock levels in each location (a red icon indicates that the item is low in stock whereas a green icon indicates that the item is well-stocked):

  5. You can also sort the Category, Brand, Model, Option, Level and location information in ascending or descending order by clicking the arrows beside those items in the menu bar.
  6. (Optional) Click an item in the Image column to view detailed stock information for a product.
  7. (Optional) You can export the data by clicking the Export Product Data icon.
  8. To select stock, check the boxes at the right side of the rows and click the Select Stock button.
  9. Click the Select Stock And Continue button to progress to Stage 2:

  10. (Optional) If necessary, you can remove all or selected items from the list by checking the boxes on the right of the list and clicking the Remove All or Remove Selected buttons.
  11. Enter the number of items that you want to request in the Quantity To Send boxes in the To Locations column. Ensure that the quantity is less than or equal to the number available.
  12. Click the Continue button to progress to Stage 3:

  13. Add a Reference number and a Projected Arrival Time in the boxes provided.
  14. (Optional) If necessary, you can cancel the request by clicking the Cancel All button or you can go back to change the quantities of items in your request by checking the Edit Requested Amounts button.
  15. Click the Add Transfers button followed by the OK button to make the transfer request.
    The request will now appear on the main Transfers screen with a status of 'Transfer Requested'. At this point it is not possible for you to make any changes to the request.

What is an ‘Incoming’ Stock Transfer?
Requesting an ‘incoming’ transfer means that you want to make a request for stock to be sent from another stock location to your current stock location.

Adding an ‘outgoing’ transfer means that you want to send stock directly from your current stock location to one of your other stock locations.

Why can't I view the Stock Transfers page in IRP Admin?
You may not be able to view the Stock Transfers page (StockTransfers.aspx) for two reasons:
  1. If you have only one Stock Location configured in your IRP, the IRP cannot carry out a stock transfer and so you will be redirected to the Stock Admin home page (StockAdminHome.aspx) when you click the link for ‘Stock Transfers’ in the IRP left navigation menu.
  2. If the Admin User Group to which you belong doesn’t include the ‘Allow Stock Transfer’ special permission, you will not be able to view the Stock Transfers page.
