Stock Operations

You can find this section under Stock Control > Stock Operations in the IRP Admin left navigation menu.

You use this section to set various properties against selected stock items. You can do this for individual items or for a whole page of items. You can use bulk update settings to make changes to the entire results set. You can also directly override a stock location level although in general you should avoid doing this as you should carry out Stock Takes where possible instead.

From the Stock Operations screen you can also access the Stock Analytics and Stock Suppliers areas of the Admin console.

The main Stock Operations screen shows several details of your stock items in a separate row:

You can use the Search function to search by Stock ID, Part Code, Brand, Category or Option. Click to expand the Other Options menu from where you can select several other options:

The search options are as follows:

  • Active Only: Check this box to return results for all stock, only active items or only inactive items.
  • Sold More Than: Enter a quantity to return items sold in either the last three months or all time.
  • Value In Stock: Enter a value figure and check either the Greater Than or Less Than button.
  • Num In Stock: Enter a quantity and check either the Greater Than or Less Than button.
  • Brand: Select any brand from the drop-down list.
  • Category: Select any category from the drop-down list.
  • Supplier: Select any Supplier from the drop-down list.
  • Stock Location: Select any stock location from the drop-down list.
  • Stock Levels: Select a stock level option of All, Out of Stock Only or In Stock Only.
  • Out Of Stock Status: Select an out-of-stock status of All (Except Discontinued), All, Normal, Special Order, Discontinued or Available In.
  • Missing Part Codes: Select a missing Part Code option of All, Missing Part Codes or Missing EAN 13.
  • Picking Location Missing: Check this box to return only items that do not have a picking location set.
  • Underweight stock only: Check this box to return only items that you do not have enough of in stock.
  • Overweight stock only: Check this box to return only items that you have a surplus of in stock.
  • No Cost Price Only: Check this box to return only products that do not have a cost price set.

Note: Your search may be slowed considerably if you check the Underweight (too little stock, given the sales velocity) or Overweight (too much stock, given the sales velocity) options.

You can use the Sort By drop-down menu on the right side of the window to sort by several possible sales rank criteria or simply in alphabetical order.

As with many other screens in IRP Admin, you can click the Export Product Data icon under the Search bar to export the data in one of several formats.

The details shown in the main section of the Stock Operations screen include:

  • Out of Stock Status: This can indicate Normal (green cross), Special Order (white cross), Discontinued (red cross) or Available In (white cross). When you hover the cursor over the cross you can change the status.
  • Active: This indicates whether the stock item is viewable by customers (active) or not viewable (inactive).
  • Stock ID: This is the unique IRP stock ID number.
  • Picking Location: This is the picking location within the stock location.
  • Brand: This shows the brand.
  • Model: This shows the item's parent model.
  • Option: This shows the option. Click the value in the field to display a detailed sales analysis for the item.
  • Photo: A photo of the item may be displayed in this column. Click the photo to display a detailed sales analysis for the item.
  • Supplier: This shows the Supplier of the item.
  • Sales: This shows the all-time sales. Hover the cursor over this field to show other sales summary details, including: sales in the last six months, sales rank in the last 30 days, sales rank over all time, last ordered date and time, total sales value and total profit value.
  • Target: This shows the number of days until there is no stock left at the current velocity. Alternatively, this shows the target days to keep in stock. A red question mark indicates that not enough stock is being held. If stock is selling slower than the replenishment rate it is deemed to be "overweight" and a line is displayed above the value. If stock will sell out before being replenished, it is deemed to be "underweight" and a line is displayed under the value. If the value is approximately correct it is displayed in green. (The values in this column are calculated using the StockTargetToleranceLowerValue and StockTargetToleranceUpperValue Application Settings and are described in the Stock Control Overview help topic.
  • Stock: This shows the amount of stock being held. Hover the cursor over this field to show the stock levels in each location and the website level of stock. Items low in stock are highlighted with a red background. When the number of items in stock falls below 1, the item is shown as "Out of Stock" on the website. Unless you have checked the box for the Application Setting Enable Purchase of Out of Stock Items, this item will be unavailable for purchase.
  • Cost: This is the Supplier cost price of the item.
  • Price: This is the selling price of the item that is displayed on your website to customers.
  • Margin: This is the standard percentage increase/decrease measure for sale price to cost price.
  • Reorder Quantity: This shows the number of items to reorder when the item is placed in the reorder basket. You will see the text box highlighted in orange when the value is automatically calculated for the item.
  • Min Stock Level: This shows the minimum stock level that this item is allowed to get to. You will see the text box highlighted in orange when the value is automatically calculated for the item.

You can use the up and down arrows in a column header to filter the results by that column.

What is the 'Target' column in the 'Stock Operations' section?
This column shows the number of days until there is no stock left at the current velocity. Alternatively, this shows the target days to keep in stock.
