Segmentation

You can find this section under Email Marketing > Segmentation in the IRP Admin left navigation menu.

You use this page to view and edit all of the email segmentation options available to you on the IRP. These include email profiles, mailing list segments, email reports and email send lists.

This page provides you with an comprehensive overview of your email segmentation in one place.

Email Profiles tab

Email profiles hold the list of customers who are currently subscribed to receive mails containing certain information. For example, you could create an email profile specifically for offers. This profile would contain only those customers who have subscribed to receive emails on offers. You can set up multiple email profiles in the IRP and a customer can belong to multiple profiles.

Customers can opt in and opt out of email profiles under their account on the front end of the website. In the following example, the email profiles include 'Freetime climb ski Carlisle', 'Offer Email' and 'Other Offers':

Note that if you enable the Application Setting called Use Default Email Profile, when a customer visits the Email List page in their My Account section and enters their email address, they will be subscribed to the Default Email Profile when they click 'Continue'.

Note also that when a customer unsubscribes from an inactive email profile, they will be automatically unsubscribed from all email profiles.

You can see the following details in the main grid:

  • ID: This is the unique IRP identifier for this email profile, added automatically by the IRP.
  • Active: This setting determines whether or not the email profile is active on the website. You can use this setting for 'offline' profiles, such as separating store email addresses from website subscribers.
  • Profile Name: This is the name assigned to the email profile. This is also the name that customers see when they sign up to the list. This field is translatable – see How To Add or Edit an Email Profile.
  • Type: This is the site that this email profile applies to – this allows emails to be set up specifically for the retail or trade sites if required.
  • Is Default: If checked, this email profile will be the default profile that users will subscribe to when attempting to join the mailing list. This will have no effect when the Application Setting 'Use Default Email Profile' is disabled, in which case customers will be automatically subscribed to all available email profiles.
  • Is Trade Default: If checked, this email profile will be the default profile that users will subscribe to when attempting to join the trade site mailing list. This will have no effect when the Application Setting 'Use Default Email Profile' is disabled, in which case customers will be automatically subscribed to all available email profiles.
  • Description: This is an optional short description explaining to customers what they can expect from mailings when signed up to this email profile. This field is translatable – see How To Add or Edit an Email Profile.
  • Subscribers: This is the total number of subscribers that are in the email profile.
  • Emails: Click this button to download a spreadsheet of email addresses in this profile.
  • Edit: Click this button to go to the MailingListSegmentEdit.aspx page where you can edit details of the email profile. For more details, see How to Add or Edit an Email Profile.

Mailing List Segments tab

You use the 'Mailing List Segments' tab to split email profiles into sub-profiles depending on specific criteria. For example, you could use a mailing list segment to send an email to subscribed customers based in Australia who have spent more than £100. You can then select mailing list segments when you are sending the email using the Marketing Campaigns section of IRP Admin.

You can prevent customers from receiving excessive numbers of emails if they have applied to multiple mailing list segments by configuring the 'Marketing Email Last Sent' option as one of the criteria for the segment (see How to Add or Edit a Mailing List Segment).

You can see the following details in the main grid:

  • ID: This is the unique identifier for this mailing list segment, added automatically by the IRP.
  • Segment Name: This is the configured name of the mailing list segment.
  • Profile: This is the email profile associated with the mailing list segment.
  • Include Unsubscribed: This indicates whether the mailing list segment should include customers who have specifically asked not to be subscribed to offer emails. For example, if this is a product recall email, you should be contacting all customers who have bought that product regardless of their subscription status.
  • Apply to Criteria: This will be either 'Any' if the customer must meet just one of the specified criteria, or 'All' if the customer must meet every one of the specified criteria.
  • Criteria: These are the criteria for customers being in this mailing list segment.
  • Count: This is the total number of email addresses that are in the mailing list segment.
  • Emails: Click this button to download a spreadsheet of email addresses in this segment.
  • Edit: Click this button to go to the MailingListSegmentEdit.aspx page where you can edit details of the mailing list segment. For more details, see How to Add or Edit a Mailing List Segment.

Email Reports tab

Reports allow you to pull information from your IRP database on any aspect of your IRP instance, including email information. To create reports, you will require:

  • Knowledge of the SQL programming language.
  • An understanding of the structure of your IRP's database.

We strongly advise you to speak to your Support Team with regards to setting up and editing reports. For details about all aspects of the Reports functionality, see the Reports help topic.

You can see the following details in the main grid:

  • ID: This is the unique IRP identifier for this report. This is generated automatically when adding a report.
  • Title: This is the title/name used to identify this report within your IRP.
  • Count: This is the total number of email addresses that are in the report.
  • Emails: Click this button to download a spreadsheet of email addresses in this report.
  • Edit: Click this button to go to the ReportEdit.aspx page where you can edit details of the report. For more details, see the How To Add or Edit an Email Report help topic.

Email Send Lists tab

This is where you can easily create email lists for testing the sending of your emails. To create a list, you simply enter a name for it and a comma-separated list of email addresses to send the test email to.

You can see the following details in the main grid on the EmailTestSendListEdit.aspx page:

  • ID: This is the unique IRP identifier for this email test send list, added automatically by the IRP.
  • List Name: This is the name used to identify this email test send list. (This should be as clear as possible, especially if using test send lists for remarketing campaigns.)
  • Email Addresses: This is a comma-separated list of the email addresses in this test send list.
  • Count: This is the total number of email addresses that are in this test send list.
  • Emails: Click this button to download a spreadsheet of email addresses in this test send list.
  • Edit: Click this button to go to the EmailTestSendListEdit.aspx page where you can edit details of the email test send list. For more details, see How to Add or Edit an Email Send List.

At the top of the page you can use the following buttons:

  • Marketing Campaigns: Click this button to go to the MarketingCampaigns.aspx page where you can manage your event-driven email marketing campaign flows. For more details, see the Marketing Campaigns help topic.
  • Add Email Profile: Click this button to go to the EmailProfileEdit.aspx section where you can create a new email profile. For more details, see How to Add or Edit an Email Profile.
  • Add Mailing List Segment: Click this button to go to the MailingListSegmentEdit.aspx section where you can create a new mailing list segment. For more details, see How to Add or Edit a Mailing List Segment.
  • Add Email Report: Click this button to go to the ReportEdit.aspx page where you can create a new email report. For more details, see the Reports help topic.

How to Add or Edit an Email Profile

To add or edit an email profile, follow these steps:

  1. Go to Email Marketing > Segmentation in the IRP Admin left navigation menu.
  2. Select the Email Profiles tab.
  3. To add a new profile, click the Add Email Profile button at the top of the page.
  4. To edit an existing profile, click the Edit button to the right of the profile that you want to edit.
    The EmailProfileEdit.aspx page appears.
  5. Fill in the following details on the Profile Information tab:

    Email Profile Details
    Email Profile ID This is the unique IRP identifier for this Email Profile. This is added automatically.
    Active This setting determines whether the email profile is active on the website. You can use this setting for ‘offline’ profiles, such as separating store email addresses from website subscribers.
    Is Default If you check this box, this email profile will be the default profile that users will subscribe to when attempting to join the mailing list. This will have no effect when the application setting ‘UseDefaultEmailProfile’ is disabled, in which case customers will be subscribed automatically to all available email profiles.
    Is Trade Default If you check this box, this email profile will be the default profile that users will subscribe to when attempting to join the Trade Site mailing list. This will have no effect when the application setting ‘UseDefaultEmailProfile’ is disabled, in which case customers will be automatically subscribed to all available email profiles.
    Profile Type Select the site that this email profile will apply to. This allows emails to be set up specifically for the retail or trade sites if required.
    Profile Name This is the name that you want to assign to the profile. It is also the name that customers will see when they sign up to the list. This field is translatable; just select another language to enter or change the profile name for that language.
    Description This is the optional short description that you want customers to see explaining what they can expect from mailings when signed up to this profile. This field is translatable; just select another language to enter or change the profile name for that language.
    Add all existing subscribers to this profile Check this box if you want to add all existing subscribers to other profiles to this new profile at this time. Note that you will NOT be able to do this once the profile has been created.
  6. Click the Insert Email Profile button or the Update Email Profile button.
  7. Select the Subscribed Customers tab to search for and add customers to include in the profile, or view the existing subscribers to the profile. You can see the main details of each of the subscribers. To update one of the mailing list entries, click the Edit button. This takes you to the MailingListEdit.aspx page (for more details, see the Mailing List help topic). If you want to remove a subscriber from a profile, check the relevant box and then click the Unsubscribe Selected Email Addresses button.
