You can find this section under Private Sales > Private Sales in the IRP Admin left navigation menu.
You can use private sales to create focused sales, targeted at specific customer demographics.
- Often, private sales are by invitation only and so customers must be added to the sale before they can access it. However you can also choose to make a private sale browsable by any member of the public.
- You can run private sales over a specific time period or you can run them indefinitely.
- You select the models or stock items that will be a part of the private sale, then set the sale price for each item and the ‘Available Stock’ amount for each stock item.
- Private sales have their own CSS Styles and associated Interface Manager.
- Customers access Private Sales at www.yourIRP.com/PrivateSale/Login.aspx
The main PrivateSales.aspx page appears as follows:
The following fields are displayed:
- ID: This is the unique IRP identifier of a private sale.
- Active: This indicates whether the sale is currently active (true or false). This is based on the date range for the private sale.
- Sale Name: This is the name of the private sale.
- Is Browsable: This indicates whether the private sale can be viewed by any member of the public (not just invitees to the private sale). This is either true (browsable) or false (not browsable).
- Start Date: This is the start date and time of the sale.
- Finish Date: This is the finish date and time of the sale.
- Customers: This shows the number of customers who are invited to the sale. For more details, see the How To Add Customers to a Private Sale article in this section.
- Stock: This shows the number of stock items involved in the sale. You can click the number in the cell to go directly to the ‘Stock in this Private Sale’ page where you can make changes and delete stock items. For more details, see the How To Add Stock to a Private Sale article in this section.
- Orders: This shows the number of orders generated by the sale.
- Sales: This shows the total value of the orders generated by the sale.
You can also use the following buttons on the right side of the grid:
- View Sale: Click this button to view the Private Sale on the front end. NOTE that you will not be able to follow through the full Basket - Checkout process unless you are logged in as one of the customers invited to the sale.
- Email: Click this button to view and send invitation emails to a private sale.
- Customers: Click this button to see details about the customers who are invited to a private sale.
- Edit: Click this button to make changes to a private sale. For more details, see the How To Add or Edit a Private Sale article in this section.
Search functionality is available on Private Sales pages equivalent to that on the standard site but limited to the products within the given sale. In IRP Admin you can configure the search filters that are available to Private Sale invitees on the front end. In the following screenshot, for example, you can see a search bar at the top plus various types of filtering options on the left of the page:
When customers open a model page from the page shown in the screen capture above, they can view larger images of the products by clicking the Enlarge Image link. This opens the LargeImage.aspx page in a lightbox.
Private Sale Application Settings
You can use the following Application Settings for defining numerous aspects of Private Sales:
- Private Sale Enable Offline Payments: Whether payment by cheque, bank transfer or invoice is allowed from within the Private Sale functionality.
- Private Sale Enable Payment By Amazon Pay: Whether Amazon Pay is available as a Payment Method in the Private Sale section of the website. The overall 'Enable Amazon Pay' setting must also be on for this to work as well as the country enablement settings.
- Private Sale Enable Payment By Bank Transfer: Whether payment by bank transfer is allowed from within the Private Sale functionality. This will be overridden by the 'Private Sale Enable Offline Payments' Application Setting.
- Private Sale Enable Payment By Card: Whether payment by card is allowed from within the Private Sale functionality.
- Private Sale Enable Payment By Cheque: Whether payment by cheque is allowed from within the Private Sale functionality. This will be overridden by the 'Private Sale Enable Offline Payments' Application Setting.
- Private Sale Enable Payment By Invoice: Whether payment by invoice is allowed from within the Private Sale functionality. This will be overridden by the 'Private Sale Enable Offline Payments' Application Setting.
- Private Sale Enable Payment By Pay Pal: Whether payment by PayPal is allowed from within the Private Sale functionality.
- Private Sale Enable Purchase Order Field: Determines whether a Purchase Order Field is displayed on the Order Summary page within the Private Sale functionality.
- Private Sale Show Critical Stock Threshold: Determines whether a simple In Stock / Out of Stock is shown on Private Sale Models page. If enabled, any stock item that falls below this Critical Stock Threshold will display as 'Only x Left in Stock', usually in red text.
- Private Sale Show Number In Stock Below Threshold: If stock for a Private Sale stock item falls below this threshold, the Add to Basket controls on the Private Sale Models page will show the exact number in stock, otherwise it will just display as In Stock.
- Private Sale Show Upcoming Sales When None Active: Shows any upcoming sales on the Sales page if none are currently active at that time.

To add or edit a private sale, follow these steps:
- Go to Private Sales > Private Sales in the IRP Admin left navigation menu.

To add a new private sale, click the button at the top-right of the page.
To edit an existing private sale, click the button at the right side of the private sale you want to edit.

Enter or edit the following details. If you see an asterisk (*) beside a setting it means that the setting is required.

The unique IRP identifier for this private sale. This is automatically generated when adding a private sale. |
Active |
This is based on the date range for the private sale. Determines if the sale is currently active/accessible or inactive/inaccessible. |

The display name that will determine page titles throughout the sale. Click the Translate button to change the language that you are editing. |
Start Date |
Every sale must have a Start Date. Customers will be unable to login to the sale before the Start Date. |
Has Finish Date |
Determines if a sale will finish on a particular date or if it will be an on-going ale. |
Is Browsable |
Check this box if you want this private sale will be browsable by any member of the public (not just invitees to the private sale). |
Total Sales |
The number of Complete Orders from this Private Sale. |
Other Information |
Ignore Shipping Restrictions |
Check this box to ignore any shipping restrictions from the main site on brands or products in this sale.
Unchecking this box will prevent customers adding restricted products to their basket if there is a restriction on that product at any level for their selected country. |
Show Available Stock |
Determines what displays when a customer selects a product to add to their basket. If checked, the number left in the sale will display. If left unchecked, a simple 'Available' or 'Out of Stock' message will appear beside the product. |
Ignore Web Stock Levels |
By default, Private Sales will track the Web Stock level i.e. when an item is sold on the main website, if it lowers the stock level below the number to sell on the Private Sale, it will automatically reduce the number to sell in the Private Sale. By ticking this box, the Private Sale will only follow the Number To Sell set against a stock item, and prevent the system from tracking web stock. Private Sales Number To Sell pays no attention to store level stock. |
Enable Free Shipping |
Enables free shipping for the private sale. This will only be available on the private sale and does not require a FREE Shipping Rule set up within the Shipping Rules section. This was originally introduced for Business to Business sales. |
Show Sale Price Only |
Only show the sale price for products within this private sale. Checking this checkbox will hide RRPs and non-sale prices from private sale product and listings pages. |
Enable Click & Collect |
(This will show only if you have enabled Click and Collect in the Application Settings.) Check this box to allow customers to place Click & Collect orders in this private sale. |
Search Filter |
Show Advanced Filter |
This determines whether an Advanced Search filter, similar to the Products filter on the main website, appears rather than a simple Brand and Category filter. |
Show Brands Filter |
This determines whether a Brands Filter will appear on the Private Sale Listings page Left Hand Navigation. |

This determines whether a Brands Filter will appear on the Private Sale Listings page Left Hand Navigation. |

This determines whether a Reviews Filter will appear on the Private Sale Listings page Left Hand Navigation. If enabled, this filter will appear only if there are reviews for the Products listed. |
Show Price Range Slider |
This determines whether a Price Range Slider will appear on the Private Sale Listings page Left Hand Navigation. If enabled, this slider will appear only if there is a variance between the Min Price and Max Price of the Products listed. |
Element Display Ordering |
This determines the order in which the elements will appear on the left-side Search Filter. To change the order, simply drag and drop the elements to position them where you choose. |
Bottom Navigation |
Bottom Nav HTML |
Language-specific bottom navigation for the private sale. If no language derivative is found, the English bottom navigation will be applied.
This allows you to define the structure and content of your bottom navigation for this particular sale using HTML. This helps to differentiate the sales site from your standard IRP site. Please ensure that your HTML is valid before adding it to this section.
You can use this section to display any HTML content. For example, Terms and Conditions for the private sale, to list your business address, display images, etc. You can also leave it blank if you do not require any content at this location. |
- When you have entered or updated all of the details, click
/ button to save them.
Now that you have created the private sale, you can add stock and customers to it. For details, see the 'How To' topics that follow. |

Please note that you can only add stock to a private sale that you have already created. For information on creating private sales, please view the associated How To article.
To add stock to a private sale, follow these steps:
- Go to Private Sales > Private Sales in the IRP Admin left navigation menu.
- Click the
button at the right side of the private sale that you want to add stock to.

Click the Add Stock tab:

All stock items will be displayed by default. You can use the search functionality to find specific products to include in the sale:
In the screen capture below, you can see that the search functionality was used to find NBA Basketball Accessories. The current stock levels, RRPs and unit prices are shown. You can set the Sale Price and the Threshold (the number to sell before the item becomes unavailable for the private sale) of each stock item, before checking the box on the right side. To add all checked stock items to the private sale, click the Add Selected Stock Items button.

After clicking the button, the stock items will appear under the Stock in this Private Sale tab. Please note, the number of stock items included in the private sale is also displayed on this tab.
From here you can update or remove the individual stock items from the sale.
To edit a stock item, change the Sale Price or Threshold value and click the button.
To delete a stock item, check the corresponding box and click the button. |

You need to add customers to a Private Sale before they can log into the sale and purchase products. Note that you can only add customers to a Private Sale that you have already created. For information on creating Private Sales, see the How To Add or Edit a Private Sale article in this section.
To add customers to a Private Sale, follow these steps:
- Go to Private Sales > Private Sales in the IRP Admin left navigation menu.
- Click the
button at the right side of the Private Sale to which you want to add customers.

The PrivateSaleCustomersEdit.aspx page appears. Click the Add Sale Customers tab:

You can use the Search bar to find specific customers to include in the sale, including customers who have not been in a previous sale, customers with no orders and only subscribed customers. In the following screen capture, you can see that the Search feature was used to find customers who have placed at least one order, with a minimum spend of £15, purchasing products from the ‘Socks’ Category. In the lower section of the page, check the boxes at the right side of the rows belonging to the customers whom you want to add to the Private Sale. To add all checked customers, click the button. Alternatively you can add all customers to the Private Sale by clicking the button.
- When you have added the customers to the Private Sale they will appear under the Current Sale Customers tab. Note that the number of customers added to the Private Sale is also displayed on this tab. You can remove customers from the Private Sale by checking the Delete box and clicking the
button. |

When you have created your Private Sale and are happy with the layout, stock items and customers, you need to inform the customers who have been added to the sale that they can access it.
Customers access Private Sales at www.yourIRP.com/PrivateSale/Login.aspx.
Customers can use their normal site login details. If there are currently two or more Private Sales active, and the customer has been added to more than one active sale, they will be able to choose which sale they want to access after logging in.
The easiest way to notify customers about a Private Sale is via email. To send an Invite Email to all customers included in a Private Sale, follow these steps:
- Go to Private Sales > Private Sales in the IRP Admin left navigation menu.
- Either:
a) Click the Email button at the right side of the Private Sale for which you want to send out the Invite Email. You will be directed to the EmailCampaignEdit.aspx?EmailCampaignID=nn page (where 'nn' is the ID of the email campaign). For information about how to manage the email from this point forward, refer to the Email Campaigns help topic.
b> Click the Customers button at the right side of the Private Sale for which you want to send out the Invite Email. Then on the PrivateSaleCustomersEdit.aspx page, click the Invite Email tab followed by the Edit Private Sale Invite Email button. You will be directed to the EmailCampaignEdit.aspx?EmailCampaignID=nn page (where 'nn' is the ID of the email campaign).
